JOB PURPOSE

The Crew Leave Officer, reporting to the Senior Crew Officer, is responsible for the delivery of Crew Leave, GDO’s (Guaranteed Days Off) and Owed Days Schemes for all permanent, fixed term and 3rd party contract crew.

This includes keeping up to date with all Social Leave requirements and ensuring legal and industrial compliance throughout the process.

 

JOB ACCOUNIBILITIES

The delivery of Crew Leave for all permanent, fixed term contract and 3rd party contract crew:

  • Delivery of the annual leave bid and open phase release on time and in line with the defined success criteria
  • Deliver a monthly Leave Demand / Supply review with the establishment team to constantly check leave required versus leave available to ensure there is no risk in accruing a leave backlog or over providing leave availability both of which have a significant financial impact.
  • Delivering the auto allocation process to agreed time frames
  • Identification of opportunities for process and system improvements
  • Manual processing of all summer leave agreements
  • Manual processing of Italian Christmas parental leave
  • Communicating concise and relevant information to the crew community
  • An unpaid leave bid is released and managed in accordance with availability

Delivery of GDO’s (Guaranteed Days Off)

  • Deliver  the release of GDO’s for all crew, oversee the open phase release and subsequent monthly releases
  • Ensure the GDO levels are consistent across crew communities
  • Deliver  a monthly Demand / Supply review with the establishment team to check GDO levels are sufficient to meet the crew entitlements

Administration of leave and GDO processes

  • Leave query resolution for crew and local management teams
  • Ensure Crew Leave documentation is accessible, clear and constantly updated to reflect change whether as a result of social legislation or crew industrial agreements
  • Support crew leave Superusers to actively provide local crew support and highlight any local issues
  • Develop and maintain collaborative relationships with key stakeholders particularly Cabin Services, Flight Ops, IT, HR and Finance
  • Reviewing and processing of all parental leave requests
  • Remain up to date on any changes to policy that impact crew leave or social leave (such as maternity, parental, dependency, etc.)

AIMS Crew Leave and GDO systems:

  • Ensure the crew leave and GDO system are robust, scalable and consistently meet the required quality levels
  • Thorough end to end testing of the new releases with a full audit trail to support all test scripts
  • System is set up and tested prior to the bid
  • Assist in any IT projects that impact leave ranging from annual bid projects to potential full system replacement projects 
  • Undertake FTL training as needed.

Any adhoc work or projects required to support the Crew Planning Support Manager

KEY SKILLS REQUIRED

  • Excellent communication skills and ability to present complex information clearly and concisely
  • Team worker with a flexible attitude, comfortable working under pressure and ability to respond to changing demands and timescales
  • Excellent analytical skills with a keen eye for detail
  • Ability to adhere to strict deadlines
  • Proven capability in MS Office applications particularly excel
  • 12 Months Crew Planning experience

 

LOCATION & HOURS OF WORK

This full-time role will be based at Luton at least 2 to 3 days; with the remaining working from home and will be 40 hours per week.
